First steps

 

Welcome to SEMYOU!

 
The following description will explain how to use your SEMYOU Cloud-Office directly and guide you through the initial configurations step-by-step.

1. Complete the Cloud-Office information

 

 In order to fully use your SEMYOU Cloud-Office, it is necessary to first complete your information.


Company information

  1. Select “Settings” from the left navigation bar

  2. Select “General” from the horizontal settings menu

  3. To edit the settings, click on the edit symbol

  4. Completely fill in the information

  5. The changes are accepted by clicking on the save symbol


2. Create user

All activities within SEMYOU are based on a user account. Create user accounts for the users who should have access to your SEMYOU Cloud-Office.

In order to create a new user, complete the following steps:

  1. Select “User” from the left navigation bar

  2. Select “New user” from the “Action menu”

  3. Complete all of the required information and confirm by clicking the “Save” button. Please make sure that a valid email address has been entered! It is not possible to create numerous users with the same email address.

Note:

When a new user has been created, that user will receive all of the login information from SEMYOU via a separate email.

The user account is blocked after being created and has to be activated by the user himself. Within the welcome email, there is a link which can be used to activate the user account.


3. Enter payment information

To be able to order SEMYOU Service/APPS, it is necessary to enter at least one valid method of payment. SEMYOU supports two secure and authorized methods of payment which can be used to settle your monthly subscription fees.

Supported methods of payment:

  • PayPal

  • Credit card payment (Visa, MasterCard)

For both methods of payment, you are only authorizing SEMYOU to deduct monthly subscription fees and you only have to enter the method of payment once.

 

Method of payment: Registering credit cards

To register a credit card as a method of payment with SEMYOU, please follow these steps:

  1. Select “Settings” from the left navigation bar

  2. Select “Payment information” from the horizontal settings menu

  3. To edit the settings, click on the edit symbol

  4. Select “Actions / New payment methods” from the “Payment methods” area

  5. Select “Credit card” from the menu

  6. Enter all of the required credit card information into the corresponding fields

  7. Click the “Save” button. The credit card information is then checked for validity. If the entries are incorrect, a corresponding error message will appear below the relevant field.

After receiving authorization, the method of payment is listed within your SEMYOU Cloud-Office.

 


Invoice information

Along with the method of payment, an official invoice address for your business must be entered. Complete the following steps, to update your invoice address:

  1. Select “Settings” from the left navigation bar

  2. Select “Payment methods” from the horizontal settings menu

  3. To edit the settings, click on the edit symbol

  4. The changes are accepted by clicking on the save symbol

 

4. Order a subscription

The SEMYOU APP Store allows you to order available APPS by SEMYOU or even test them for free.

Order an APP

To order an APP subscription, the subscription must first be placed in the shopping cart. Complete the following steps to place a subscription in the shopping cart:

  1. Select “APP STORE” from the left navigation bar

  2. Select “APPS” from the horizontal menu

  3. Select the corresponding APP from within the APP list

  4. Open the available price plans for the APP

  5. Place the ideal price plan into the shopping cart. You can also select the free test version here.

  6. Switch to the shopping cart using the horizontal menu and complete your order.

It is important to enter your method of payment and invoice address prior to placing an order. If this information is not already available, it will be requested during the ordering process.

 

Test APPS for free

Within SEMYOU, you can test all applications (APPS) once for free. In order to test an APP, complete the following steps:

  1. Select “APP STORE” from the left navigation bar

  2. Select “TEST VERSION” from the horizontal menu. In this view, all SEMYOU applications are displayed. By viewing the status, it is discernible whether or not the APP has been already tested or not.

  3. Select an APP and click on the “Test APP” button. The application will then be placed in the shopping cart

  4. Switch to the shopping cart and complete your order. There is no charge for testing an application.

 

Note:

After the test period, the APP is automatically deactivated. You now have the option to purchase a subscription for this APP which can be selected within the SEMYOU APP store and can then be ordered

  1. Select “Licenses” from the left navigation bar

  2. Select “Assign licenses” from the horizontal licenses menu

  3. Within the APP license list, mark the application for which you would like to assign a license

  4. Select “Create new assignment” from the action menu. This menu item is only active when licenses are still available within your subscription. If the number of available user licenses has been reached, then a new subscription/upgrade must be purchased.

  5. Select the user name from within the dialog field and click on the “Save” button to complete the assignment.

An additional option within the dialog field is to assign whether the user is the APP Administrator or not. This option is not available for all applications!

Note:

The assigning of a license to a user cannot be undone due to the fact that user specific data might be stored within the application. The assignment can only be terminated by cancelling the subscription.


5. Assign licenses

To assign a purchased license to a user, complete the following steps:

  1. Select “Licenses” from the left navigation bar

  2. Select “Assign licenses” from the horizontal licenses menu

  3. Within the APP license list, mark the application for which you would like to assign a license

  4. Select “Create new assignment” from the action menu. This menu item is only active when licenses are still available within your subscription. If the number of available user licenses has been reached, then a new subscription/upgrade must be purchased.

  5. Select the user name from within the dialog field and click on the “Save” button to complete the assignment.

An additional option within the dialog field is to assign whether the user is the APP Administrator or not. This option is not available for all applications!

6. Starting an application

The APP subscriptions you have ordered are immediately available. Access to the individual applications is found under “Licenses / APPS”.

  1. Select “Licenses” from the left navigation bar

  2. Select “APPS” from the horizontal licenses menu

In this view, all applications as well as the corresponding URLs are displayed by which the APP can be called up.

 

Note:

Access to all of the SEMYOU APPS is also possible using the APP “sem.CloudOffice”. Every SEMYOU APP can be called up directly using the online desktop of this application.
